What a small business can really do with AI

No hype and no product names: where AI saves real time in a small business, and where it mostly creates new work.

The question "how do I use AI in my business" is almost always asked from the wrong end. It starts with the tool and goes looking for a problem. It is better to start with your week and look for the repetition in it.

The sign that something suits AI

A task fits when it meets three conditions: it repeats, it has a clear input, and a bad result is obvious within seconds. Drafting a reply you send twenty times a week meets all three. Deciding what to charge a client meets none of them.

  • Repetitive — you do it more than once a week
  • Clear input — you can describe in one sentence what goes in
  • Checkable — a mistake is visible immediately, not a month later

Where it works in practice

First drafts of replies you send often, summarising a long conversation into points, translating text you wrote, turning a messy list into a tidy table, rewriting the same message for three audiences. In all of these the machine brings a draft and you bring the judgement.

Where it does not

Anything where a mistake costs money or trust and cannot be seen immediately. Numbers a customer will rely on, a commitment to a deadline, an answer about what a contract says, or anything sent to a customer without a person having read it.

What not to paste into a chat

Before pasting text into any tool, assume what you pasted has left your control. Identifiable customer details, card numbers, passwords, medical documents and signed contracts — no. A blurred version of the same question, with no names and no figures, is usually enough to get the same answer.

The highest-return change, and it is not AI

In most of the businesses we have seen, the big saving did not come from AI but from ordinary automation: a reminder that sends itself, a form that saves straight to the right place, an invoice created from an event rather than from memory. Less exciting, more reliable, and usually cheaper.

The cheap way to start: pick one repeating task from last week, try doing it with a tool, and compare the time. If you did not save any, it was not the right task — and that is fine.
