What a WhatsApp bot can do, and what it cannot

The real limits are not the bot's. They belong to the channel, and to what the business actually wrote down.

WhatsApp is the channel most Israeli businesses genuinely work in, which makes "a WhatsApp bot" sound like the obvious answer to every problem. It solves some of them. Its limits are not where people expect.

The channel is not yours

This is the first limit and the most important. WhatsApp is another company's platform, with its own rules about what may be sent, to whom, and when. A message the business sends first is not the same thing as a reply inside a conversation the customer opened, and the rules differ between them.

In practice that means opening messages are approved in advance, and that is a waiting period rather than a setting you change with a click. Anyone planning a campaign to go out on a Tuesday needs to know that the week before.

And there is a quieter limit: the data lives with the platform. If the bot is the only place what was said to a customer is kept, you do not have it. You have access to it.

A bot can only answer from what is written down

This is the common disappointment. A bot does not know what is in the owner's head. It can answer from what somebody wrote down, once, somewhere it can read.

So this project almost always starts with work that does not look technical: writing out the answers to the fifteen questions that keep coming back. Skip that part and you get a bot that politely says it did not understand.

Here is something that sounds like a concession and is not: a good bot is not the one that understands everything. It is the one that works out quickly that it does not, and hands over to a person without making the customer repeat themselves. Handing over is the feature rather than the failure, and anyone measuring a bot by the share of conversations it closed alone is measuring the wrong thing.

What actually works

The things that repeat and have a defined answer. Opening hours, the address, what a service includes, how to order, the status of an existing order. Also gathering details before a person joins the conversation, so the conversation starts from the right place.

What does not work: pricing work that needs judgement, committing to a date, and anything where a wrong answer leaves the business committed to it.

A small detail that teaches you about the channel

This site has a WhatsApp button. An ordinary link to it can carry an opening message that appears for the customer, but a short link of another kind cannot carry one at all. So you pick between the two rather than having both.

That is the kind of limit you discover while building rather than while planning, and it is much of the real work in a channel whose rules are not yours to set.
