Why leads get lost in WhatsApp
Enquiries arrive from four channels and live in somebody’s memory. What the smallest system that fixes it looks like.

Almost every small business in Israel takes enquiries over WhatsApp. It is convenient for the customer, which is exactly what makes it a problem: what is convenient for them is not necessarily manageable for you.
The problem is not that you fail to handle enquiries. The problem is that you have no way of knowing how many went unhandled.
Where it actually breaks
An enquiry arrives in the evening, you reply "I will get back to you tomorrow", and by tomorrow there are seven newer messages above it. Nothing was deleted — it simply moved down. A week later there is no sign it ever existed.
The same thing happens with more than one person answering: two people reply to the same enquiry, or both assume the other did. From the outside those two situations look identical.
The three things that are missing
Every enquiry needs three things, and it goes missing when any one of them is absent:
- A place — a record that exists even when nobody is looking at the chat
- A status — new, in progress, waiting on the customer, closed, or not relevant
- An owner — a person’s name, not an assumption that somebody will pick it up
The smallest system that works
You do not need a large CRM. In most cases it is enough that every enquiry, from every channel, lands in one place with a timestamp and a source, and that one screen shows who needs chasing today.
In the projects we have built it looks like this: a form on the site saves straight to a database and sends a notification, enquiries from other channels are recorded in the same place, and every record has a status somebody changes. It sounds too simple, and that is the point.

What to measure once a system exists
As soon as enquiries live in one place, questions open up that previously had no way of being asked:
- How many enquiries arrived this month, and from where
- How long the first reply takes on average
- Which stage enquiries stall at most often
- Which sources bring paying customers rather than just enquiries
None of those questions needs expensive software. They need the enquiries to be somewhere countable.
